The Smartree approach in human resources domain is based on streamlining complex processes and the continous help offered to customers so that they to use Smartree technology in relation to other implemented software solutions.

One of our customers, a multinational company, has implemented, at an international level, the Workday, leading provider of enterprise cloud applications for finance and human resources. To optimize costs and time processing, Smartree has developed and implemented an interface solution between Workday and Smartree Payroll application.

Situation: The client enters the data in both Workday system and Smartree application, and the time used for this process and the associated costs are significant.

Solution: On the client's request, Smartree developed the interface of the two systems so the HR responsible introduces only once the information related to personnel administration (introducing new/out employees, contractual data change etc.).

 

The Workday system data are automatically transmitted to the Smartree Payroll application, without the user having to perform any other action. In addition, the data are interpreted and validated before importing in the Payroll system, so that any inconsistency in Smartree application is prevented.

Streamlining the process and increasing the productivity

If before the Smartree development the user of the two applications (Workday and Smartree payroll application) would have had to enter manually the same data twice, by this interface, this process is done in a single system and the transfer to payroll is automatically, without any extra effort for the HR responsible.

Cost Optimization

The double time allocated to these actions of entering the personnel administration data would be associated with additional costs with HR employees. Now, the person responsible with this process saves time and can focus on activities that bring added value to their department and hence to the company.

Reducing the risk of inconsistency

The risk of introducing wrong data is considerable reduced by the automatic validation of the information before transfer to the Smartree’s Payroll application.

Direct notification through email

Smartree’s development allows the posibility of receiving certain types of notifications, so the user to validate the actions of the two systems (examples: Successfully Import, Mandatory data missing etc.).

Defining functionalities for interface with Workday

The Workday application transmits .xml files with information about the actions of the system, using a SFTP server (Secure File Transfer Protocol). The API developed by Smartree interprets files and, after validates them in terms of data consistency and business, import them in the Payroll application.

 

The interface application running is configured to import data on periods of time predifined by the user. The application runs in a loop until the current day related files are processed successfully, enabling the user to correct and introduce data in Workday if he/she received a notification by email in case of an inconsistency.
